Event Admin Information

This page is primarily designed to assist those who organise events for the League. Thank you for your time and assistance in making the League run smoothly. If you can’t find the information that you require, please email bobbie.sauerzapf@btinternet.com.

The East Anglian Cross Country League is an associate member of the Association of Running Clubs (ARC). We apply for a race permit from ARC around two weeks before the event. If your landowner requires this earlier, please ask.

The race permit gives the event Public Liability Insurance to a maximum of £10million. The Insurance document and FAQ sheet are here and here.

The Landowner may ask to see the event risk assessment. A sample risk assessment is here.

Please feel free to amend this to suit the specific issues at your venue. Otherwise, Bobbie will produce a risk assessment for your race around two weeks before the event.

Some Landowners ask for an Event Management Plan. A sample one is here. The EMP template is specifically that produced by South Norfolk Council and, although designed to cover all manner of outdoor and indoor events, should give sufficient information. Please ask if you would like an EMP specific to your event.

First aid cover is provided by members of the League. As with parkrun, we have a large first aid kit at the start/finish and also a defibrillator. We would ask that all course marshals have a mobile phone and the number of a responsible person at the start/finish who can arrange assistance if needed.

Finally, as part of the ARC Permit requirements, we advise Norfolk and Suffolk Constabulary, together with the relevant District Council, of the dates and location of all events.
